Work schedules can be applied to users in order to override the global work schedule configured for your workspace.
This can help give visibility to when certain users may work different hours than what is considered “standard” at your organization. For example: if a freelance contractor has been hired at part-time hours, or if a project is in “crunch time” and team members may be required to work some overtime hours temporarily.
Global Settings
A global configuration for the workday length, and days included in your work week remains available in System Settings > Scheduling > Settings:
Here, we have a standard Monday through Friday, 40-hour workweek.
If some users will be working hours that differ from this global setting, this can be specified per user.
User Work Schedule Settings
Under System Settings > Resources > Users and Groups hover over the user whose work schedule needs to be adjusted, and click the calendar icon:
A dialog window will appear with the option to Add Work Schedule. Click this button to modify the work schedule for the user.
The work schedule will populate by default with the standard work hours set up in your workspace. From here, you can add or remove days of the week to this user’s schedule, and/or adjust the length of each workday.
If this is the first work schedule you are adding to this user, it will populate as the “Default” automatically - this means it is the work schedule this user will be adhering to for the duration of their employment.
You can also set the work schedule to apply to only a selected period of time.
Both a default and selected period work schedule can also be combined by adding additional work schedules for a user.
This user works a 32 hour week by default, however will be temporarily increasing their hours for 2 months.
| Note: each user can only have one Default work schedule; all others must be set for a selected time period. Multiple selected periods may not overlap with each other. |
Once all work schedules have been set up for the user, click Save to apply the changes.
Viewing Work Schedule Information
Work schedule information can be viewed from other areas of the UI to help with scheduling and assigning tasks.
Overview Timeline Scheduler
In the Timeline view for the Overview User’s dashboard, any days that a user is not working will be highlighted to provide visibility on where task start and due dates should not be scheduled.
| Note: there is not yet a way to visualize when a user works partial hours on a given day, this will be coming in future updates. |
Sidebar
Opening the sidebar for a user will also display their Work Schedules at the bottom of the user’s info tab.
Known Limitations
Work schedule data is not visible in the Task Spreadsheet Gantt view. To check a user’s work schedule from the Task Spreadsheet, click on their user name to view it in the Sidebar.
