Subscription & Billing

From the Subscription and billing portal, you can manage your subscription and billing information, view purchase history/download invoices, and change the billing contact information of your site.

Subscription and billing Access

There are three ways to access the portal:

1. Click on your profile picture icon in the upper-right corner of the top bar and select Subscription and billing.

2. From the System settings under General settings > Subscription and billing.

3. Navigate directly to account.ftrack.com/manage
 
This will redirect you to a new webpage where you will be prompted to input your email address to access your workspace's billing portal.

Please note: To be able to access these settings, your user account needs to be configured with the appropriate permissions. For more information, please take a look at the Managing access to Subscription and billing paragraph.


Input the email address associated with your ftrack account or billing member log-in, and click
Continue with email. This will prompt you to check your email to proceed with your log-in request.

The email received will contain a link that will redirect you to the Subscription and billing portal.

Click Log in to be brought to the Subscription and billing portal.

The settings are organized into four separate subsections:

Subscriptions

Billing address

Payment methods

Invoices

 

Subscriptions

From the Subscription section, you can view and manage your ftrack subscriptions. The subscription options available on this page will differ depending on your own subscription (Monthly, Annual, or possibly both).

Managed subscriptions will not be editable. If you see the following message, please click the link to contact sales to request your subscription changes:

For editable subscriptions, you have the following options:

1. Adding and removing users: Seats refer to the number of licenses available for your workspace.  This controls how many active users you are paying for on a monthly or annual basis.

2. Purchasing additional storage: This increases the total amount of cloud storage available for your project media (video files, audio files, images, etc...), and can be purchased in 500GB increments.

3. Purchasing Review Pro: This is an add-on that provides some additional functionality to our review features. You can read more about this here.

Adding or removing users

1. To add or remove users, adjust the number of seats by either entering a number in the field or by using the plus and minus buttons to increase or decrease your seat count.

  • When decreasing the number of seats: the change will occur at renewal, and you can continue to utilize the user count until then.

  • When increasing the number of seats: the change will take place immediately. You will be charged an amount proportional to the remainder of the current billing period.

2. Press the Update subscription button. (You will be presented with a new total cost and asked to confirm your changes before it takes effect.)

Adding a new subscription

To add a new subscription to your account, click the Add button next to the subscription you wish to add, and then follow the steps for adding or removing users.

Note: You may only add each subscription option (monthly or annual) once.

 

Converting between plans

To convert a monthly subscription to an annual payment plan or vice-versa, please contact sales.

 

Converting a trial to a paid plan

If you are currently in a trial of ftrack Studio and follow the steps above to access the Billing portal, you will first be prompted to set up your subscription by choosing between a monthly or annual billing cycle, then selecting the number of seats you wish to purchase.

You will then be prompted to enter your payment details.

You may also end your trial period early at any time by clicking the Upgrade Now button in the banner at the top of your workspace to complete the above-mentioned steps.

Switching your ftrack product (Review & Studio)

Because ftrack Review and ftrack Studio are fundamentally different products, there are limitations when switching between the two. Each product has distinct workflows, and therefore when changing from one, you will lose access to another.

ftrack Studio vs ftrack Review:

  • ftrack Studio allows you to manage your projects and/or productions, collaborate with your team and clients, hook into other DCCs, scale and create custom integrations using our API, and send content to 3rd parties/clients for feedback and approval.
  • ftrack Review is a cloud-based collaborative media review and approval tool designed for creative teams who must iterate on media and gain feedback from stakeholders. Review is the stand-alone review component of ftrack Studio

 

Product switch for trial customers

Switching from one product to another can only be done by our Support Team and for sites that are still in the early stages of the trial. For most trial accounts, before switching products, we first recommend setting up a separate trial instance (Review or Studio).

Please note: Different products have different domains (UIs), and you need to use separate emails for the signup.

If the separate trial is not an option for you, or if you accidentally signed up for a trial of the wrong product, please contact us at support@ftrack.com or via the 'Submit a request' button.

 

Product switch for paid customers

  • Switching from ftrack Review to ftrack Studio

The ftrack Review subscription can only be switched to the ftrack Studio subscription by our support team.

Before requesting an upgrade to ftrack Studio from Review, it is important to understand the difference between Studio and Review and set your expectations right. Therefore, we highly recommend signing up for an actual trial and evaluating the product first, using this link.

Please note: Signing up for a new trial, you must use another email address than you used for the Review signup. It can be a personal email address, or someone else's within the organization.

Tip: By changing subscriptions from Review to Studio, the application interface will change, but all data, including users, projects, assets, feedback, etc. will be kept, and the ongoing review sessions will continue as normal.

Please note: Once Review is converted to Studio, it can not be changed back.

  • Switching from ftrack Studio to ftrack Review

The ftrack Studio subscription cannot be switched to the ftrack Review one. Currently, the only way to change the products is by canceling the Studio subscription and setting up a new separate trial instance of Review.

Tip: Before doing so, it is important to understand the difference between Studio and Review and set your expectations right. Therefore, we highly recommend signing up for an actual Review trial and evaluating the product first, using this link.

Please note: Signing up for a new trial, you must use another email address than you used for the Studio signup. It can be a personal email address, or someone else's within the organization.

 

Canceling a subscription

To cancel a subscription, press the Cancel subscription button in the lower-left corner of the Subscription section.

Once your subscription has been canceled, it will remain active until the end of the current billing period.
 
Please note: At the end of your free ftrack trial period, unless you add billing information, your site will automatically be torn-down and all data destroyed.

 

Billing address

From the Billing address section, you can update your billing address, click Edit to make changes.

Fill in the required address information and click Update billing address to save.

Payment Methods

Under Payment Methods, you can edit the payment details for your subscription.

To update, click the Add button.

You will then be prompted to update your payment details and click Add to commit the changes.

Please note: For security reasons, the card number of a payment method is never shown and must be provided each time when the billing information is updated. The type and last four digits of a saved card will be shown in the Payment methods section for reference.

 

Invoices

From Invoices, you can see all your invoices with the option to pay now or download them as PDF files.

To download an invoice, go to the PDF column and click the purple arrow icon next to the invoice you wish to download.

Managing access to Subscription and Billing settings

If you do not have permission to access the Billing portal, the message shown below will appear when navigating to the billing log-in page. To request access you must contact the billing administrator for your workspace.

Adding a Billing Member

To give a new member access to manage the subscription and billing for your workspace, click Manage Access at the top of the Billing portal page.

On the Manage access page, you will be able to view all members who can access the Billing portal, as well as their Billing role.

To add a new user, click Invite Member.

1. Input the email address of the person you wish to invite.

2. Select if they will be a Billing manager or a full Administrator.

3. Click Invite.

A Billing manager will be able to update subscription and billing information in the Billing portal, but will not be able to add new billing members.
An Administrator will be granted full permissions in the Billing portal, including adding additional billing members.
 
Both types of members can be added to the billing portal at no additional cost, and will not be granted access to any associated workspaces.
 
The following banner will appear when the member has been added successfully.

Please note: Please notify the member that they have been granted access to the Billing portal, as no email will be sent to them as confirmation.

Their name will also appear as pending in the list of billing members.

Removing a Billing Member

To revoke access to the Billing portal, click the Revoke access icon next to the member you wish to remove.

Please note: You cannot revoke your own access to the Billing portal. If you are transferring administrator ownership of the billing organization, invite the new administrator to the Billing portal, and have them revoke your access after they have logged in.
