A Lookup can used on the Project, custom Object, or Tasks Overview dashboards to allow you to add Attributes or Custom attributes for other related objects in your project structure alongside the type of data being displayed in the dashboard view. This will help to give you better contextual visibility of data across your projects, without having to navigate to different dashboard views in order to retrieve it.
Example: A Lookup can be created on the Tasks dashboard, to show the Shot Status alongside the Task Status:
The Lookup feature can be found under the Dashboard Settings.
Clicking Add Lookup will open the dialogue window where you can select the Attribute column you would like to add to your dashboard view.
Add a name for your Lookup in the Name field.
The Source drop-down will display the list of workflow Objects in your workspace. The Object you select here will be the source of the Attribute column data you want to display in your dashboard view.
Select the Direction that the data will need to be retrieved from. This refers to the relationship between the objects in the Dashboard that you are viewing (Projects, Objects or Tasks), and the specific Object that you will be displaying in your Lookup.
Example: If you are on the Tasks dashboard, and would like to display a Shot Attribute column, the direction will be looking for the task Parents. However, if you are on the Projects dashboard, and would like to display that same Shot Attribute column, the direction will be looking for the project Children.
Once you select the Direction of your Lookup, you will be able to select the Attribute to display.
Note: This drop-down will include both built-in Attributes and Custom attributes listed together in alphabetical order. |
Optionally, you can also filter the Lookup attribute to only populate the Attribute column based on specific criteria.
Your filter does not have to be on the same Attribute that you selected for your lookup.
Example: If you have chosen to lookup your Shot Status, you can add a filter that will only display the Shot Status if the Shot Priority is sent to Urgent.
Note: These filters will not filter down what is being displayed in the overall dashboard, it will only hide data from the Lookup Attribute column. |
Filters can also be stacked.
Example: If filtering for Shots with a Priority of Urgent, you can also add a second filter for Shots with the Status of In Progress.
This will filter your lookup to only display items that match both filter criteria.
If you would instead like to include items that meet either filter criteria (Priority of Urgent or Status of In Progress), turn on the Match any filter toggle.
Once you have filled out all required fields, and added filters if required, click Save to add your Lookup to your dashboard view.
Repeat this process as many times as needed for the number of Attributes you would like to display in your dashboard.
Finally, you can drag and drop the Attribute names in the Settings pane to reorder them in the view.
Once done, make sure to save your dashboard with your Lookup Attributes visible.
Additional Example
Another way to use the Lookup feature is to add Milestone Due dates to the Task dashboard:
Note: Since both Tasks and Milestones cannot be parent-objects, their relationship to each other is Siblings. |
Known Limitations
There are a few known limitations when it comes to using Lookups:
- Lookups are not available on the Users or Versions Dashboards
- Lookups are not available on any Timeline views
- When creating a Lookup to display Milestone attributes, if there are multiple Milestones related to the Object in the dashboard, only the most recently created Milestone will be displayed.
