Private Projects function similarly to project-specific access in that they allow the project creator to control which users have access to the project; however, a private project will also be hidden from:
- The workspace Administrator
- Global API keys
Unless they are explicitly added to the project team.
It is for this reason that it is recommended to only use private projects when an additional layer of access control is needed, for example: requirements outlined in contractual obligations with a specific client.
To create a private project, you will need to have the following permissions applied to your User Role:
- Create projects
- Can make a project private/public
- Update project
- Manage user access to project
- Manage team
Creating a Private Project
When creating a new project, Private Access will be turned off by default.
This means the project will be considered open, and all users with a role that grants access to “all open projects” will have access.
Turning the private access toggle on, will remove open access, and will instead allow you to manually add individual users to the project team.
Changing an Existing Project to Private
Existing projects can also be made private after the fact by toggling Private Access on from the Team page
Adding Users to a Private Project
Users can be added to a private project from the project’s Team page by clicking on Add user access and selecting the users you would like to add to the project.
When adding a new user, a Role must be defined for them on the project.
Only Roles that provide access to “All open projects” will be available to select from. Therefore user roles such as the Restricted User role cannot be used on private projects.
|
Note: If you need to create or assign a new role to a user on a private project, learn how to do so in the following article: Access to private projects can also be granted from the System Settings when assigning a Role to a user. |
Once you have selected the User and Role, click Add next to the role to apply it, then Save at the bottom right of the dialog window to have the user appear in the project team.
If you need to change the user’s role later on, you can do so on the Team page by hovering over the user, and clicking the Change project role icon to open up the role selector again.
Removing User Access
To remove a user from the project team, select the user in the list, then click Remove user access.
Or by hovering over the user and clicking the x icon next to their profile picture.
